Updating a Report

Use this article to learn how to edit an existing report that belongs to the User Created report category. To learn how to create a new report, read the Creating a Report and Cloning a Report articles.

The Edit Report Window of the reports module will enable users to edit an existing report. This window consists of panel headers, that are clickable which navigates to the relevant step.




Open the Edit Report Window

From the Reports Module

  1. Go to Main Menu > REPORTS.
  2. Select the report you want to modify.
  3. Click the Edit Report button (    ) on the Action Bar

From the Report Preview Window

  1. Run your report.
  2. On the Report Preview window, click the Edit button.


Option 1 - Change Report Details

  1. If you need to change the report name:
    1. On the edit report window, the Enter details panel will be open by default. Change the report name as required.
    2. Save changes as mentioned in the Save Report article.
  2. If you need to change the scope of the report in the scope field. Available options are:
    • Current Portfolio - Your xyicon or boundary report will be based on the currently active portfolio.
    • Portfolio List - Your report will be based on multiple portfolios. Click the List field to select the portfolios that must be included in the report.
    • Organization - Your report will be based on all the portfolios that belong to your Xyicon organization. 
    1. On the edit report window, the Enter details panel will be open by default. Make the necessary changes to the scope field as required.
    2. Save changes as mentioned in the Save Report article. 

     3If you need to enter a description to the report:

    1. On the edit report window, the Enter details panel will be open by default. Enter a description to the report in the Description field. 
    2. Save changes as mentioned in the Save Report article.

Option 2 - Change Report Columns

  1. Open the edit report window of the existing report that you intend to edit as mentioned above.
  2. Click the Select Columns panel on the report stepper as highlighted below.

     
  3. Choose the desired report format for the updated report. By default, all reports use the detailed format. To get a summarized report, turn on the Summarize results for this report toggle that will automatically include a Count field.
  4. As an additional option available only for Xyicon Report, turn on the Include fields from Linked Xyicons toggle if you want to add linked xyicon fields to your report. This will split the Available fields section into two tabs: 
    1. Xyicon Fields
    2. Linked Xyicon Fields

5. Next, change the fields you want to view in the report by moving them between the Available Fields and Selected fields for columns section. Drag and drop or use the Move Left () and Move Right () buttons to move columns between the two sections.

6. Reorder the fields by selecting a column or multiple columns from the Selected fields for columns section and dragging and dropping them at the desired location or using one of the reorder buttons located to the right.

7. Save changes as mentioned in the Save Report article.


Option 3 - Configure the Set Sort Order

  1. Open the edit report window of the existing report that you intend to edit as mentioned above.
  2. Click the Set Sort Order panel on the report stepper as highlighted below.


  3. Add a field to sort by clicking the Add button (    ).
  4. Select a field from the drop-down list and specify if it should be sorted in ascending or descending order.
  5. To remove an existing field, highlight the row and click the Delete button (    ).
  6. Repeat steps 3, 4, and 5 above as required.
  7. Save changes as mentioned in the Save Report article.

Option 4 - Configure Applied Filters

  1. Open the edit report window of the existing report that you intend to edit as mentioned above
  2. Click the Apply filters panel on the report stepper as highlighted below.


  3. Click the Add button (    ).
  4. Select the field, then the condition, and then the value.  If you enabled including linked xyicons in your report in the Select Columns as mentioned in option 2 above, you may see two tabs for filtering Xyicon Fields and Linked Xyicons Fields. You can switch tabs and set filters as needed. If you set filters on both tabs, the output will be displayed considering both conditions.
  5. Keep building the filter.
  6. To remove a specific filter, highlight the row and click the Delete button (    ).
  7. Save changes as mentioned in the Save Report article.

Option 5 - Configure Custom Column Headings

    1. Open the edit report window of the existing report that you intend to edit as mentioned above
    2. Click the Customize headings panel on the report stepper as highlighted below.


    3. Under the Display Name in Header section, enter a custom heading for each report column. In a Xyicon Report that has enabled linked xyicons, the header for Linked Xyicon Fields displays the prefix Linked by default.
    4. Save changes as mentioned in the Save Report article.

Option 6 - Update Multiple Panels

  1. Open the edit report window of the existing report that you intend to edit as mentioned above
  2. Do the necessary configurations as mentioned in Option 1- 5.
  3. Click on the relevant panel on the report stepper that you want to configure next and do the necessary changes as mentioned in Option 1- 5.
  4. Save changes as mentioned in the Save Report article.
