Permission Sets in Xyicon are predefined configurations that determine the level of access and actions users can perform across all Types and Fields in the modules within the organization. They help manage and control access to different modules and data. This feature allows administrators to define specific permissions for users, ensuring that each individual has the appropriate level of access to perform their tasks within Xyicon.

Users can access specific portfolios or portfolio groups based on their assigned Permission Set. After adding a user to the organization from the Users section in Settings, they can be given the necessary permissions by assigning them to Permission Sets, which can be done in two ways.

  • You can assign a Permission Set to each Xyicon User for a specific portfolio via the Users section in Settings.
  • You can assign a Permission Set to each Xyicon User for a portfolio group via the Users section in Settings.
NOTE: Xyicon Administrators do not require permissions since they already have full access to all features across all portfolios within your Xyicon organization.

Key points about Permission Sets in Xyicon:

  • Levels of access: Permission Sets should be assigned to users according to the level of access needed for the relevant portfolios established within an organization.
  • Granular Control: Xyicon Administrator can create detailed  Permission Sets that specify users' actions within the selected portfolio or portfolio group. This includes viewing, editing, or deleting Types and Fields within each Xyicon module. For example, access to certain fields in a module may be necessary for one user but not for another. In such cases, those particular Fields can be hidden from the user who does not require access.
  • Customizable Role-based Permissions: Permission Sets can be customized to suit unique roles within an organization. For example, a role with view-only permissions may be granted access to view a particular space but not to modify it, while a role with editing permissions may be allowed to make changes to the same space. In such instances, customized Permission Sets can be created to define the level of access for each role.
  • Data Access Control: By using Permission Sets, organizations can ensure that sensitive data is only accessible to authorized personnel.
  • Streamlined Workflows: Properly configured Permission Sets ensure users can access necessary modules and data within relevant portfolios without unnecessary restrictions.

By leveraging Permission Sets, Xyicon enables organizations to maintain control over their data and processes, ensuring that each user has the appropriate level of access to perform their tasks effectively.
