The Permissions section in Settings is critical for managing user access and controlling actions within your Xyicon organization. Proper configuration of permissions ensures sensitive information in your Xyicon organization is protected and users have the appropriate access to perform their tasks efficiently. 

This guide provides an overview of how to manage permissions in Xyicon, including the sub-sections:

  • Users
  • User Groups
  • Portfolio Groups
  • Permission Sets


Users

Users are individual accounts within XyiconThese individual user accounts are categorized into two types, Xyicon Administrators and Non-admin users.

  • Xyicon Administratorhave complete access to all portfolios created within the Xyicon organization. They are also responsible for: 
    • Creating, updating, and deleting user accounts, user groups, portfolio groups, and permission sets
    • Defining the users as Xyicon Administrator and revoking administrative privileges when necessary
    • Allocating catalog permissions to users
    • Assigning users to user groups
    • Assigning portfolios to portfolio groups
    • Assigning permission levels to permission sets
    • Allocating permission sets to individual portfolios and portfolio groups and assigning them to users.
  • Non-admin users work within the application based on the permissions assigned to them by the Xyicon Administrators. They may have access to either a single portfolio or multiple portfolios, which can be arranged as individual portfolios or grouped into portfolio groups.

User Groups

User Groups serve as collections of users within your Xyicon organization. Based on your organizational needs and structure, Xyicon Administratorcan create an unlimited number of custom user groups. User Groups are a convenient way to share Reports and Views. The view owners can share their views and assign view permissions to a user group instead of individual users.

In addition to the custom user groups, every Xyicon organization has two system user groups, which cannot be manually deleted or updated.

  • Administrators - This group includes users defined as Xyicon Administrator with full system access.
  • All Users - All new users are automatically added to this group.

Portfolio Groups

Portfolio Groups allows Xyicon Administrators to categorize multiple portfolios into groups according to organizational needs. Also, Xyicon Administrators can assign these grouped portfolios to users from Portfolio Permissions in the Users section in Settings. Users are assigned to these portfolio groups according to a defined permission set, ensuring the users have access only to the data and objects they are authorized.

When you add a new portfolio to a portfolio group, all users who have access to the portfolio group will automatically have access to the newly added portfolio. Additionally, users can generate reports specific to portfolio groups.


Permission Sets

Permission Sets are an important feature in Xyicon because they allow Xyicon Administrators control what users can perform within the Xyicon Organization. It ensures Xyicon Administrators can give only the specific and necessary permissions to Non-admin users to perform their activities within Xyicon organization.

Xyicon Administrators  can use Permission Sets to determine the actions Non-admin users can perform across all types and fields in each module within the Xyicon organization. Each Non-admin user can be assigned a permission set allocated to an individual portfolio, or a portfolio group ensuring that they have the appropriate level of access to perform their tasks.

Xyicon Administrators do not require permission sets since they already have full access to all features across all portfolios within your Xyicon organization.
