        Xyicon Administrators

Use this article to learn how to create a portfolio in the Portfolios module window and assign it to Xyicon User.

Before you begin

Make sure you have set up the following under Xyicon Settings (    ):

  • Portfolio Types, Portfolio Fields, and Portfolio Layouts module settings for the Portfolio module.
  • Relevant permission sets for the users in your Xyicon organization.

Step 1 - Create a Portfolio

  1. Go to Main Menu (    ), PORTFOLIOS.
  2. Click the Create button (    ) on the Action Bar.
  3. On the Create Portfolio Item panel displayed to the right, enter a unique name for the portfolio.
  4. Next, select the Type of the portfolio and click Create. Your new portfolio will be displayed in the module window.
TIP: If your new portfolio is not visible, adjust the filters (if any) or switch to the correct view.
  5. Select the newly created portfolio and enter relevant details on the Side Panel, Details tab (    ).
  6. Next, optionally add the portfolio to a portfolio group.
  7. Finally, assign the new portfolio to your users.

Step 2 (Optional) - Add Portfolio to Portfolio Group

When you add your new portfolio to a portfolio group, all users who have access to the group will automatically have access to this portfolio.

  1. On the Xyicon Header, click the Settings button (    ).
  2. Click Portfolio Groups and select the group to which you want to add the newly created portfolio.
  3. Next, click the Add button (    ) on the Side Panel > Details tab (    ) and then select the portfolio you created.

Step 3 - Assign New Portfolio to Users

Once you create your portfolio, you must assign it to the relevant users if you want them to work with the spaces, boundaries, and xyicons contained within it. You can assign the individual portfolio to the user, assign the portfolio group containing the new portfolio to the user, or combine both. When using a combination, if the same portfolio is assigned in both subsections, the permission set assigned under Individual Portfolios takes priority.

  1. On the Xyicon Header, click the Settings button (    ).
  2. Click Users and select the user who requires access to the new portfolio.
  3. Next, on the Side Panel > Details tab (    ), expand the Portfolio Permissions section.
  4. Assign the portfolio to the user
    • To assign individual portfolios, expand Individual Portfolios, click the Add button (    ), and select the portfolio you created and the appropriate permission level in the respective fields.
    • To assign portfolio groups, expand Portfolio Groups, click the Add button (    ), and select the portfolio group you created and the appropriate permission level in the respective fields.
